Some necessary details

We’re going to keep this information as simple as possible, we’ll try to avoid too much technical jargon or long sentences written by a team of lawyers. However, we don’t want you to think that the tone of our writing has any correlation with how seriously we take your privacy or how earnestly we seek to protect it.

Now that we have that out of the way, here are some terms that we’ll use frequently below that need expanding upon:

  • “We” are Cash Flow Systems (Pty) Ltd, a subsidiary of Payment Accelerator Holdings (Pty) Ltd
  • “You” are yourself, a human or a representative of a legal entity such as a company.
  • “Data” generally means any information we receive from you, such as your web browser, device type, the public IP address of your network and any information you capture into our forms or upload onto our website. If “data” requires a more specific definition in this policy, we’ll describe it as needed, in the context in which it applies.

What personal data we collect and why we collect it

Contact forms

When you send us a message through one of our online forms, or apply for one our services, you are willingly sharing the information you submit to us. This information may be your contact number, full name, email address, company details etc., basically whatever you capture onto a form, we collect and save it.

We collect this information for obvious reasons: to respond to you about a query you’ve submitted, to send you newsletters that you signed up for, or, to let you know about an application you may have made. 

Cookies

When you visit this website, you will be prompted to enable cookies, if you agree, we will record that you agreed in a cookie. A cookie is a text file that is stored on your computer that we can read whenever you have this website open. The cookie contains basic information and helps us retrieve certain settings (for example we know not to show you that cookie pop-up again because our “cookie consent” cookie has a value of “1”) and make your user experience better.

We may also create a unique identifier for you and store this in a cookie. This will help us “recognise” you the next time you open the page. Don’t worry, this identifier is not something personal, like an ID number, or your name, it’s usually a meaningless string of text e.g. “93e98fa6-c057-4444-bbf6-fceacceb4206”. Generally, these identifiers help us measure user behaviour on our website so that we can make improvements and also better understand how our visitors use our website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if you had visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use Google Analytics to measure the traffic on our website, the location of our users, the languages they use, the devices they use and more. Google Analytics is a powerful tool for any website owner and is vital to ongoing website improvement. For example, Google Analytics will tell us how long a user spends on a page. This may give us insight into whether the content is useful or not. 

There are many other uses for Google Analytics that are not relevant to this document. What’s important is that you know that Google Analytics is a service that we use, and that Google will create records of your browsing behaviour on our website. Google will not share your email address, or any information that they already have about you, with us. The data we see in our reporting is generally aggregated so that we know, for example, that 90% of our users browse our website before 1pm each day. Here’s an overview of Google Analytics from Wikipedia, this should help you get an understanding of the service.

Who we share your data with

We will not sell your information to spammers or to other data-agencies for marketing purposes. 

When we do need to share your information, for example with a funder who is going to provide the cash you are applying for, it will only be for the intended purposes, and, once we’ve obtained your consent to do so, either directly or as part of the submission process. This is usually part of a credit appraisal process and would only be done once you’ve given us the information, and in the process of requesting our services.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

if you fill in an online form, we will keep the data for a minimum of 5 years, or as required by governing laws. 

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). 

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.

Your contact information

If you submit your information through a contact / enquiry form, the data you entered into the form will be stored and will also be sent to the relevant team based on the nature of your submission. For example, you may complete a survey on our website, the survey responses will be stored for reporting purposes and a copy of your responses will also be sent, via email, to someone in our marketing department.

Again, we have no interest in selling your information.
